Project Overview

A comprehensive production management platform for AV and live event companies, unifying inventory, scheduling, labor, and client management into a single workflow.

About this Project

Overview

Ovation is a production management system designed for AV and live event production companies. The platform consolidates the fragmented tooling most production teams rely on—spreadsheets, inventory apps, scheduling software, invoicing systems—into a unified workflow that tracks gear, crews, and clients from quote through strike.

The Challenge

Production companies typically juggle multiple disconnected systems: inventory tracked in spreadsheets, scheduling in calendars, labor coordination via group texts, and invoicing in separate accounting software. This fragmentation leads to double-bookings, lost equipment, billing discrepancies, and operational overhead that scales poorly as companies grow.

Solution

Building an integrated platform that treats inventory, labor, scheduling, and client management as interconnected concerns rather than siloed functions. When a piece of gear is assigned to an event, it's automatically unavailable for other bookings. When crew is scheduled, their availability updates across the system. When an event closes, invoicing reflects actual deployed inventory.

Planned feature set includes:

  • Inventory management with check-in/check-out, maintenance tracking, and warehouse organization
  • Conflict-aware scheduling preventing double-booking of gear and labor
  • Crew coordination with availability management and mobile check-in
  • Client portal for quotes, approvals, and event documentation
  • Invoicing engine that generates line items from actual deployment data
  • Packing list generation with load-out optimization
  • Event ticketing for client-facing productions

Technical Approach

  • Next.js App Router with Supabase backend for real-time data sync
  • Row-level security for multi-tenant architecture (multiple production companies)
  • Mobile-first responsive design with planned native apps via Ionic/Capacitor
  • Optimistic UI for snappy interactions in high-pressure production environments

Status

Currently in private development with select production companies providing feedback. Public beta targeted for mid-to-late 2026.
